Payroll Deadlines (Entering Time and Approving Absences)

Time Keepers, Budget Managers, and Reports-to Managers,

Now that MDConnect is live, please adhere to the following deadlines and instruction regarding: 1) entering and approving time and 2) approving leave requests.

1) Entering and Approving Time (Time Keepers, Budget Managers)

Time Keepers now have access to the system; however, it is important to note that no action is required from Time Keepers for employees to get paid on 4/15. Any necessary amendments to reported time for payrolls dated 3/24, 4/1 and 4/15, can be submitted according to the instructions provided below and within the specified deadlines.

Amending Time for 4/15 and 4/29 Pay Checks
Support Non-exempt (SNE) and Part-time Instructional (PTI) employees only
When entering/amending regular time, overtime, comp time for hours dated… The following actions are required:
…April 3 and before
The Time Approver must send an email to payroll@mdc.edu with the following information:

  • MDID or EmplID of employee
  • Dates of amended/adjusted hours
  • Number of hours to adjust
  • Indicate if hours are amended hours or new hours worked
  • Budget Manager’s Approval Signature on document

Reminder: Time Approvers are Budget Managers in MDConnect.

…April 4 and after
The Time Keeper will enter time directly in MDConnect.
Deadlines:

  • April 7: Last day to submit amendments for the April 15 pay check
  • April 18: Last day to submit time and amendments for the April 29 pay check. Also the last day to approve all time worked during the period of April 4th – April 17th.

 2) Approving Leave Requests (Reports-to Managers)

Reports-to Managers (Supervisor) will be required to review all Leave Requests in MDConnect. If your employees submitted a leave request from 3/14 – 4/3 that wasn’t processed in Odyssey, please adhere to the following instructions and deadlines.

  • MDID or EmplID of employee
  • Leave Request date(s)
  • Number of Hours (Only if partial day)
…March 14 and after
Employees may enter Absence Requests directly to MDConnect. Reports-to Manager approves in MDConnect (after the employee submits Leave Request). Once routed for approval by the Reports-to Manager, the leave will be processed and balances adjusted with the next payroll cycle.
Instructional Employee
…March 20 and before
Reports-to Manager must send email to payroll@mdc.edu and include the following information:

  • MDID or EmplID of employee
  • Leave Request date(s)
  • Number of Hours (Only if partial day)
…March 21 and after
Employees may enter Absence Requests directly to MDConnect. Reports-to Manager approves in MDConnect (after the employee submits Leave Request). Once routed for approval by the Reports-to Manager, the leave will be processed and balances adjusted with the next payroll cycle.

Available Training

If not yet completed, please register for and complete any applicable training, e.g., Time Keeper (CTD0182S), Manager Self Service (CTD0182N). Full-time employees are recommended to register and complete ESS training. Registration information can be found on the MDConnect Training Workshops webpage. Registration deadline is April 8.
