PeopleSoft Glossary

EmplID A unique identifier used to identify an individual within an organization. An emplID is assigned to every individual in the system.
Action, Action Reason Transaction codes that track employee activities such as hires, assignments, promotions, transfers, terminations, salary changes, leaves and position changes.
Additional Pay Earnings that an employee will be paid in addition to regular earnings. For example, a stipend.
Bio/Demo Biographic and Demographic information about an individual. Also known as personal data.
Checklist Checklists are used to identify the steps required in the hiring process.
Combo Code (Combination Code) A system generated value that consists of a combination of ChartFields that are valid in the general ledger.
Job Family A value that groups similar jobs together.
Pay Group A group of employees that share similar payroll attributes. Attributes include employee type, pay frequency, location, etc.
Person of Interest (POI) Individuals who are not part of the workforce but are still of interest to the organization.
Row A complete set of information that consists of data in individual fields.
Total Rewards The collective value of an employee’s compensation and benefits. This can be displayed in a total rewards statement in PeopleSoft.
Workforce Employees within the organization.

Bio/Demo Biographic and Demographic information about an individual. Also known as personal data
CAFS Common attribute framework
Catalog Nbr (Number) The four digit numerical code associated with each course ID. This identifies the specific class title within the subject area. For example, Principles of Accounting I.
Changes Allowed Indicate whether users should be permitted to change the default
comment associated with this comment category. The default
value is Yes. You can override this value.
Append: Users can add to the default comment, but cannot
change or edit it.
No: Users cannot change, edit, or add to the default comment.
Checklist Checklists are used to identify the steps required in the hiring process
Class Class association numbers link all class sections that constitute a single offering. With a common association number, you can control not only the sections of classes in which a student must enroll, but you can also control elements of the section including units, components, and requisites. The most common example is when you have a single offering, such as BSC 2085, that consists of a lecture component and a lab component and the student must enroll in a class section of each component
Class Nbr (Number) The unique identifier for each scheduled class. In PS, this number is unique as it is attached to each term. However, from term to term, the number may be reused and attached to different classes.
Class Section Each class in PS has a section number which you manually create to identify how many sections of a specific course you are offering each term.
Component Identifies the course type (lecture, lab, lecture/lab combination, clinic, test course) Associated
Course ID A unique, six digit number assigned to each course dictionary
Course Offering Nbr (Number) The system generates the course offering number and uses it for sequencing. The system also uses the course offering number to distinguish cross-offered courses for which the course ID is the same, as are the requisites, but the course itself is listed in different subject areas, academic groups, and so on.

SME Subject matter expert
Subject Area The three or four letter code associated with a course ID. This identifies the subject area of the course. For example, Accounting, General.


Absence Management

PeopleSoft Term Definition
Absence Approver Department level role with authority to view/approve requests for absences from direct reports; view direct report absence balances/history/forecasts
Absence Administrator Module SME with access to amend/adjust absence buckets; run entitlement/take processes
Entitlements Absence plan accruals; processed on a monthly basis
Takes Absence plan hours usage (vacation, sick leave, personal leave… ); processed on a bi-weekly basis

Time Keeper A TL (Time and Labor) role with access to enter time for non-exempt employees (FT/PT)
Time Reporter An Employee
TL (Time and Labor) Approver Department level role with authority to view/approve timesheets and requests for overtime for direct reports
Scheduler Campus level department liaison with access to create or modify work schedules and assign employees to schedules


 Financial Supply Chain Management (FSCM)

Combo edit Controls/ restricts  invalid or valid combinations of chart  field
Chartstring Combination of Chartfields that identifies General Ledger Transaction; includes Fund, Operating Unit, Department,  Account number
SpeedTypes Shortcut keys created for frequently used combinations of Chartfields, to reduce data entry time and increase data entry accuracy.
Tree Hierarchy structure for reporting and/or security
Non PO vouchers One of the 2 methods of payments. One is PO and the other is the non-PO voucher
Account Chartfield for nature of financial transactions as defined by Accounting Manual
